Record Retention, Release Authorizations & Correspondence

The Office of Disability Resources (ODR) adheres to the UNC System General Schedule for the retention of records (GU323); therefore, records are maintained until 5 years after the last semester of enrollment. ODR records are not a part of the academic record in the Registrar's Office.

Release of ODR records is governed by the Family Educational Rights and Privacy Act (FERPA). An explanation of FERPA and policies governing release of records may be accessed at the Office of the Registrar. ODR maintains records via a secure electronic database.

Correspondence will generally be by electronic mail to the individual’s university assigned email account. 


In order for ODR to release materials (ie., disability documentation, copy of Accommodation Plan), a Release of Information Authorization form must be submitted to ODR.

Permissions to discuss disability related information can be set via the University's FERPA Parent Access option available through AppalNET.

Individuals are responsible for checking their university assigned email accounts for access to correspondences.
